Cancellation and Refund Policy

At NextEra Conferences Pvt. Ltd. ("Company," "we," "our," or "us"), we strive to deliver exceptional conferences and events. We understand that unforeseen circumstances may require changes to your plans. This Cancellation and Refund Policy outlines the terms for cancellations and refunds for our events.

1. Cancellation by Participants

1.1 Notification Process:

• All cancellations must be submitted in writing to imtiyaz@nexteraconferences.com.
• The date of receipt of the cancellation request will be considered as the official cancellation date.

1.2 Refund Eligibility:

• 30 Days Before the Event:
  • Cancellations received at least 30 days before the event are eligible for a refund, subject to a 20% administrative fee.
• 15-29 Days Before the Event:
  • Cancellations received 15-29 days before the event are eligible for a 50% refund of the registration fee.
• Less Than 15 Days Before the Event:
  • No refunds will be issued for cancellations received less than 15 days before the event.

1.3 Substitutions:

• Participants may substitute another attendee in their place without additional charges by notifying us at least 7 days before the event.

2. Cancellation by the Company

2.1 Event Rescheduling or Cancellation:

• We reserve the right to cancel or reschedule events due to unforeseen circumstances, including but not limited to low registration numbers, natural disasters, or other force majeure events.

2.2 Refunds for Company-Initiated Cancellations:

• If the Company cancels the event, registered participants will be offered the choice of:
  • A full refund of the registration fee.
  • Transfer of the registration fee to a future event organized by the Company.
• If the event is rescheduled, participants who cannot attend the new date will be eligible for a full refund.

3. Non-Refundable Items

• Certain charges, such as transaction fees, travel and accommodation costs, or third-party services booked by participants, are non-refundable.

4. Refund Process

4.1 Timeline:

• Refunds will be processed within 15 business days from the date of approval of the cancellation request.

4.2 Mode of Refund:

• Refunds will be issued to the original method of payment used during registration.
